Off-site Equipment Loans

Property Pass - Fermilab Business Services Section guidelines Loan of Property to Fermilab Employees and Visitors is a separate business process outside of the off-site loan procedures.
 
Property passes are normally issued for off-site personal use of Property and CD tagged computing equipment.
 
Employee property passes are valid up to a 12 month term.
 
A Visitor with a valid Fermi badge may obtain a short-term property pass up to a maximum of 30 days with the proper CD Department or Division approvals.

The Fermilab Business Services Section has also provided guidance on Loan of Property to Outside Organizations. The rest of this text details the requirements for taking Fermilab PREP equipment to off-site locations. In all cases the CD Equipment Manager must be made aware of all the equipment that is going off-site, whether it is being distributed from the pool or it is to be taken directly from an experiment location. Equipment requests involving off-site loans of equipment owned or administered by the Computing Division or from the CD PREP Equipment Pool fall into one of two types.
 
A Collaborative Agreement is used when the experiment or effort is supported by or part of the Fermilab experimental program. The equipment requested is typically called out in the Memorandum of Understanding (MOU).
 
An Off-Site Loan is used when the requesting institution experimental effort is not part of the Fermilab experimental program. Such requests go through a more rigorous business process and require Computing Division, Business Services/Property Office, Directorate, and DOE approvals. The formal off-site loan business process takes time for review and approvals so please plan ahead.
